About the Role

Position Overview

The Language Services Coordinator will lead the Operations Team by managing the full lifecycle of interpretation and translation services across multiple lines of business. This role will work closely with clients, linguists, and internal teams to ensure high levels of client satisfaction, linguist engagement, and operational efficiency.

In this fast-paced environment, the Language Services Coordinator will be responsible for coordinating language service requests, scheduling interpreters and translators, managing client relationships, overseeing invoicing and billing processes, and providing technical expertise for proposal development. This includes recruiting and onboarding linguists, managing vendor relationships, ensuring quality standards, and overseeing budgets and profitability.

Key Responsibilities

- Schedule and assign interpreters for on-site, video (VRI), and over-the-phone (OPI) appointments to fulfill clients' needs and expectations
- Manage urgent scheduling needs by accessing Words Warriors' database of interpreters and translators to solve last-minute requests
- Oversee invoicing and billing processes, ensuring accuracy and timely payment collection
- Provide technical expertise and support in developing proposals and responding to solicitations
- Recruit, onboard, and credential freelance interpreters and translators nationally
- Build and maintain linguist database with skills, languages, certifications, and performance metrics
- Track and audit schedules and timesheets for interpreters and translators
- Serve as primary point of contact for assigned clients and manage project expectations
- Prepare quotes, proposals, and cost estimates for new and existing clients
- Conduct quality assessments and provide performance feedback to linguists
- Handle escalations and resolve issues proactively to maintain service excellence

Requirements

  • 5+ years of experience managing translation and/or interpretation projects in a language services environment

  • Proven ability to schedule and coordinate linguists across multiple time zones and service channels

  • Experience with project management tools, scheduling platforms, and linguist databases

  • Excellent organizational skills with ability to manage multiple projects simultaneously

  • Outstanding communication and client relationship management skills

  • Bachelor's degree in Translation, Linguistics, Languages, Business Administration, or 15+ years of experience in lieu of Bachelor's degree.

  • Deep understanding of translation and interpretation processes and quality standards

  • Ability to work independently in a remote environment


Preferred Qualifications

  • 3+ years in a project management or coordination role with vendor/freelancer management responsibilities

  • Fluency in English required; fluency or professional proficiency in a second language highly preferred

  • Experience working in New York State and/or with Federal government clients

  • ATA Certification

  • Project Management certification (PMP, PRINCE2, or equivalent)

  • Experience working with government contracts and compliance requirements

  • Familiarity with HIPAA, FERPA, and other regulatory compliance

  • Knowledge of medical, legal, or technical terminology in multiple languages
